Job Summary

The Executive Assistant will work closely with the CEO and serve as a key link between the CEO’s office, Board of Directors, senior management, employees, customers, and external stakeholders.

The successful candidate will also provide business analysis, management reporting, research, presentation preparation, project coordination, and other strategic support to help the CEO make informed decisions.

Key Responsibilities

Executive & Administrative Support

  • Manage the CEO’s calendar, meetings, appointments, and priorities.
  • Prepare reports, presentations, correspondence, agendas, and briefing materials.
  • Coordinate travel arrangements, accommodation, itineraries, and logistics.
  • Handle confidential information and correspondence.
  • Monitor requests directed to the CEO and coordinate appropriate follow-up.
  • Track decisions, assignments, and action points to ensure completion.

Communication & Stakeholder Liaison

  • Communicate professionally on behalf of the CEO.
  • Liaise with employees, Board members, senior managers, customers, partners, and other stakeholders.
  • Maintain effective relationships with internal and external stakeholders.
  • Support selected external relations activities on behalf of the CEO.

Board & Senior Management Support

  • Coordinate Board meetings, documentation, schedules, and logistics.
  • Prepare and distribute Board materials within required timelines.
  • Support Executive and Senior Management meetings.
  • Follow up with functional heads on agreed actions and deliverables.

Business Analysis & Reporting

  • Consolidate departmental reports and management submissions.
  • Review reports and identify trends, risks, variances, and issues requiring attention.
  • Track organizational performance against plans and targets.
  • Support monthly performance reviews and business improvement projects.

Research & Special Projects

  • Conduct business, industry, market, operational, and strategic research.
  • Prepare research reports, briefing notes, presentations, and executive summaries.
  • Coordinate special projects from initiation through completion.
  • Monitor project milestones, deliverables, and progress.

Requirements

Candidates should have:

  • At least 5 years of experience supporting C-level executives or senior business leaders.
  • Experience in executive administration, business support, project coordination, or a related role.
  • Experience supporting internal and external communications.
  • Knowledge of business operations and management reporting.
  • Experience conducting research and preparing management reports.
  • Experience coordinating meetings, events, travel, and executive schedules.
  • Basic accounting and financial management knowledge is an advantage.

Technical Skills

Proficiency in:

  • Microsoft Outlook
  • Microsoft Word
  • Microsoft Excel
  • Microsoft PowerPoint
  • Adobe Acrobat
  • Social media and web-based platforms
  • Digital productivity and collaboration tools

Strong Excel and presentation skills are advantageous.
